A warehouse is a designated storage location for inventory items within the Inventory Management Module. Warehouses can be used for receiving (purchasing), exporting (selling), and transferring inventory between locations.
1. Adding a New Warehouse
To add a new warehouse to your organization:
Step 1: Access the Warehouse Menu
- Navigate to Warehouse under the Inventory Module from the left sidebar.
- Click Add a Warehouse at the top of the page.
Step 2: Enter Warehouse Details
On the Add Warehouse page, fill in the following details:
- Warehouse Code – Enter a unique identifier for the warehouse.
- Warehouse Name – Specify the name of the warehouse.
- Order – Define the order in which the warehouse appears in inventory selection lists (similar to alphabetical sorting).
- Warehouse Address – Provide details including City, Province, Postal Code, and Country.
- Notes – Add any relevant remarks about the warehouse.
- Display Option – Check/uncheck this option to show or hide the warehouse in the selection lists.
- Hide When Out of Stock – Check this option to automatically hide the warehouse in the Items Management page when stock reaches zero.
- Custom Fields Tab – This tab is empty in the Add form but becomes available in the Edit screen, displaying custom fields assigned to the warehouse.
Step 3: Save the Warehouse
- Click Save to confirm and create the warehouse.
2. Adding Custom Fields & Assigning Warehouses to Staff
To enhance warehouse records, you can add custom fields and assign warehouses to specific employees.
Step 1: Configure Custom Fields
- Navigate to Settings under the Inventory Module from the left sidebar.
- Select Warehouse Custom Fields and assign the necessary custom fields.
Step 2: Assign Warehouse to Staff
- Navigate to Warehouse under the Inventory Module.
- Hover over the warehouse you want to edit and click Edit.
- Make the necessary modifications.
Notes:
- Admins assign warehouses to employees in the Edit popup.
- Employees can only manage inventory for assigned warehouses, including:
- Creating Inventory Receiving Vouchers
- Processing Inventory Delivery Vouchers
- Handling Internal Delivery Notes
- Managing Loss & Adjustment Records
Step 3: Save Changes
- Navigate to the Custom Fields tab. The custom fields assigned in Step 1 will be displayed here.
- Click Save to apply the changes.
3. Deleting a Warehouse
If a warehouse is no longer operational, you can delete it.
Steps to Delete a Warehouse:
- Navigate to Warehouse under the Inventory Module.
- Hover over the warehouse to be deleted and click Delete.
- Confirm the deletion in the pop-up message. The warehouse will be removed.
Note: Once deleted, a warehouse cannot be recovered. Ensure that all inventory transactions associated with the warehouse are processed before deletion.
4. Viewing Warehouse Details
To view details of an existing warehouse:
- Navigate to Warehouse under the Inventory Module.
- Hover over the warehouse and click View to see its details.
Status Column: Displays Unsafe Inventory when the current stock falls below the minimum threshold (configured in settings).
