The Employee Layoff Process in HR Records

The employee layoff process follows these structured steps:


Step-by-Step Guide

Step 1: Create a Layoff Checklist

  1. Navigate to HR Records ModuleSettingsLayoff Checklist.
  2. Click Add to create a new layoff checklist.

Step 2: Enter Layoff Checklist Details

  1. The system will display the Add Layoff Checklist screen.
  2. Enter the required details.
  3. Click Save to confirm the operation and proceed to Step 3, or click Close to cancel and return to the previous screen.

Step 3: Configure the Layoff Checklist

  1. After saving the checklist, the system will switch to the Configure Layoff Checklist screen.
  2. Here, you can either:
    • Add a new step to the layoff process (Proceed to Step 4), or
    • Return to the Layoff Checklist main screen, where the newly created checklist entry will be displayed.

Step 4: Define Layoff Process Steps

  1. Click Add to define the steps of the layoff process.
  2. The system will display fields such as:
    • Step Name (e.g., Exit Interview, Final Payroll Processing, Asset Return)
    • Person Responsible for executing the step.
  3. Enter the required information and click Save to store the step details.

Note: The data in the Person in Charge field is retrieved from the HR Profile Module. The assigned employee will have permission to update resignation details corresponding to their department.

Step 5: Create a New Layoff Checklist

  1. Navigate to the Layoff Checklist menu.
  2. Click New Layoff Checklist.

Step 6: Enter Layoff Checklist Information

  1. The system will display the New Layoff Checklist screen.
  2. Enter the necessary data.
  3. Click Save to confirm, or click Close to cancel the action.

Step 7: Update the Resignation Process

  1. In the Layoff Checklist screen, select the resignation process to update its progress.
  2. Click View Details to check the current status and make necessary updates.

Step 8: Finalize the Layoff Checklist

  1. The system will display the layoff process corresponding to the selected employee.
  2. Review completed steps and ensure all required actions have been taken.
  3. Click Save to confirm, or click Close to exit without saving.

Step 9: Approve the Layoff Process

  • Once the process completion reaches 100%, click the green checkmark button to approve the layoff.
  • Upon approval, the employee’s account will be deactivated, preventing further access to the system.

Final Notes

  • Ensure that each step of the layoff process is clearly defined and assigned to the correct personnel.
  • Only authorized users can update or approve the resignation process.
  • The system will automatically deactivate the employee's login credentials once the layoff process is approved.
