Training Process for Employees in HR Records

The employee training process in the HR Records module follows these structured steps:

  1. Create Types of Training
  2. Create Training Libraries
  3. Create Training Programs
  4. View Training Results

Steps to Configure the Employee Training Process

Step 1: Create a Type of Training

  1. Navigate to HR Records ModuleSettingsType of Trainings.
  2. Click Add to create a new training type.

Step 2: Enter Training Type Details

  1. The system will display the Add Type of Training screen.
  2. Enter the required details.
  3. Click Save to confirm the operation.

Step 3: Create a Training Library

  1. Navigate to the Training Libraries screen.
  2. Click Add to create a new set of questions for the training library.

Step 4: Enter Training Library Details

  1. The system will display the Add New screen.
  2. Enter the required details and click Save.

Explanation:

  • Training Type: Select the relevant skill type for the training.
  • Name: Enter the name of the questionnaire.

Step 5: Add Training Questions

  1. After saving, the system will display the Training Questions screen.
  2. Click Add Another Question, select the Checkbox, and enter the question details.

Explanation of Fields:

  • Required Field: If selected, the question must be answered and cannot be left blank.
  • Score: Enter the score assigned to the question if answered correctly.
  • Add Another Answer: Click to add additional answer options.
  • Delete Answer: Click to remove an existing answer.
  • Delete Question: Click to delete the entire question and its answers.

Step 6: Preview the Questionnaire

  1. Click the Green Eye Button to preview the questionnaire design.
  2. Questions marked with "*" are mandatory and must be answered.

Step 7: Create a Training Program

  1. Navigate to the Training Programs screen.
  2. Click Add to create a new training program.

Step 8: Enter Training Program Details

  1. The system will display the Add New Training Program screen.
  2. Enter the necessary details and click Save to confirm or Close to cancel.

Explanation of Fields:

  • Training Program Name: Enter the name of the training program.
  • Training Type: Select the skill type. When selected, the Training Program Items field will display a corresponding set of questions retrieved from the Training Libraries screen.
  • Minimum Score: Enter the minimum score required to complete the training. If an employee scores below this threshold, their training status will be marked as "Not Completed" in their Profile → Training.
  • Additional Training Program for Staff: If selected, you can manually assign employees to this training program. Multiple employees can be selected at once. If left unselected, the training program will apply to employees in the selected Job Position.

Step 9: View Training Results

  1. Navigate to the Training MenuTraining Results.
  2. Once an employee completes a training test, their results will be displayed on this screen.

Final Notes

  • Ensure that Training Types, Training Libraries, and Training Programs are set up before assigning employees to training.
  • Use the Training Results screen to monitor and evaluate employee performance.
  • Mandatory questions must be answered before submitting the training test.
